Refund & Cancellation Policy

1. Introduction

At Digidocs, we are committed to providing a transparent and customer-friendly experience. This Refund and Cancellation Policy outlines the terms under which you may request cancellations or refunds for the services you have purchased through our platform.

By using our services, you agree to this policy and understand that most of our processes involve third-party government portals, legal authorities, and verification systems where refunds may not always be possible once the process has started.

2. Service Nature

Digidocs operates as a facilitator between users and government departments, regulatory bodies, or authorized agents. We assist with documentation, form submissions, digital stamping, registration, and related services. Because most services involve personalized document preparation and submission to official portals, once processing has begun, cancellation or refund eligibility becomes limited.

3. Cancellation Policy

3.1 Before Processing Begins

If a cancellation request is made before the application or document processing has started, you may be eligible for a partial refund after deducting administrative and payment gateway charges.

You must submit your cancellation request via email to support@digidocsindia.com within 24 hours of placing the order.

3.2 After Processing Begins

The following categories of services are non-refundable after initiation:

  • Any government document or license application submitted to a CSC VLE, government portal, or embassy.
  • Services that involve digital stamping, KYC verification, or notarization.
  • Visa processing or document legalization once submitted.
  • Any service where a government fee or third-party partner fee has already been paid.

Important: Since government and CSC service fees are non-refundable by the respective authorities, we cannot process refunds once the service reaches the submission stage.

4. Refund Policy

4.1 Eligible Refund Cases

Refunds may be approved only under the following situations:

  • Duplicate payment made for the same service due to technical error.
  • Service not initiated due to internal error or inability from Digidocs’ end.
  • Payment processed but no service initiated within 7 working days, and no response from our support team after follow-up.

4.2 Non-Refundable Cases

Refunds are not applicable in the following cases:

  • Change of mind or incorrect service selection by the customer.
  • Delay caused due to government portals, third-party systems, or external dependencies.
  • Rejection of application by government authorities due to user-provided incorrect or incomplete information.
  • Services already rendered, documentation submitted, or e-stamp generated.

4.3 Refund Processing Timeline

  • Approved refunds will be processed within 7–10 working days from the date of confirmation.
  • Refunds will be credited to the original mode of payment used during the transaction.

5. Service Modifications

If any changes or corrections are required after submission (for example, name correction, re-submission, or rescheduling), additional fees may apply depending on the stage of the process and external costs.

Instead of cancellation, users may reschedule or transfer their service request to another document or region by contacting our support team.

Such modifications are subject to approval and may incur a nominal administrative fee.

5.1 CSC Partner Execution Clause

  • Once the request is assigned to a CSC VLE and data is shared, no cancellation or refund will be entertained.
  • Refunds can be initiated only if the CSC partner has not yet started document verification or upload.
  • Any refund claim must be made directly through Digidocs India’s support channel, not via the individual CSC partner.
  • Digidocs India will coordinate with the respective CSC partner to verify the stage of processing before any decision on refund eligibility.

6. Dispute Resolution

In case of disputes or grievances related to refunds or cancellations, users may contact our customer support team at support@digidocsindia.com with full transaction details. Our grievance team will review and respond within 5 working days.

6.1 Duplicate or Failed Payments

  • Please notify us immediately at support@digidocs.in with payment proof.
  • After verification, the duplicate amount will be refunded within 5–7 working days.
  • Refunds are initiated only to the same payment source used at the time of transaction.
